from the note order on the phone to the system, how's the transition going?

honestly, the management order on my trailer is still very manual. The incoming order via WA, recorded on cell phone notes, retyped to Excel when wanting to schedule production.

With the volume starting to rise, the process is beginning to be unsustainable. There are often typo, overorder, or production schedules that don't connect to custom deadlines.

What I want to know: has anyone ever transferred from a manual to a more structured one? What's the process, what's the most helpful to begin with, and is it really worth it?

the first step is most impateful without having to buy or setup any software: centralization channel order. all orders go to one number or email, not to various people on the team. that alone is already a significant reduction chaos.

i once set up a Google Form that custom its own content for the order. It's connected to Google Sheets automatically. No need to retype, the data is on the spreadsheet that everyone on the team can see.

it's simple and effective. i do the same thing. the customer initially was a bit of a resistance but long-term habit too.

the problem is if the customer's a big cafe, they prefer to contact directly, not fill out the form. what about this handle?

for a key account that won't use form, I still use WA but there's one person dedicated handle input to the system. So it's still one entrance to the spreadsheet.

often passed during transition to the system: define first what data fields are mandatory in each order. customer name, product, quantity, date required. if it's not standard from the start, then the data goes in and out of format.

get small, don't want to setup the perfect system. the data is stored in one place and accessible to the team. then evolve as necessary.
