supply to a few outlets at once, how does the manage not fall apart?

now supply to four different outlets cafe locations. Each has different requests: frequency order, quality, blending approval, even delivery schedules.
The problem is getting here is getting harder and harder to coordinate. There's often a mishandling, a quality not matching, or a roast skedule is not connected to the delivery schedule.
Most disturbing: every outlet calls directly through WWA to each other. So the order was spread out and often it was not properly captured in production.
