what documents and requirements needed to import green coffee directly from Indonesia?

I have been buying Indonesian coffee through local importer here in Korea for 3 years. mostly Sumatra Mandheling and some Flores lot. the quality is good but margin from importer is high and I lose control over selection because I cannot choose specific lot.

now I am considering to source directly from exporter in Indonesia. I have some contact from trip to Bali last year who introduce me to small exporter in Sulawesi. they seem serious and can do direct export.

before I move forward I want to understand: what documents and requirement I need to prepare on my side as importer? and what document should the exporter in Indonesia provide? I know some basic like commercial invoice and bill of lading but I am not sure what specific documents Indonesia require for coffee export and what my country require for coffee import.

also curious if there is any requirement related to EUDR that might affect even non-EU buyer, or if any new regulation starting 2025-2026 that I should know.

appreciate if anyone here have done direct import from Indonesia and can share real experience.

i work with some exporter in Indonesia so maybe i can help explain from the exporter side. for document that exporter must prepare: phytosanitary certificate is the most important one, this is issue by karantina pertanian (plant quarantine authority in Indonesia), without this document your coffee cannot leave Indonesia legally. also need certificate of origin, usually from KADIN (chamber of commerce) or can be ICO form depends on destination country requirement. fumigation certificate also usually required, and of course commercial invoice, packing list, and bill of lading or airway bill.

for Korean market specifically i think you also need health certificate or certificate of conformity for food product, your Korean customs will have more specific requirement. suggest you check with Korean food safety authority what they require for imported coffee green bean.

thank you this is very helpful. so phytosanitary certificate is mandatory from Indonesia side. I did not know about KADIN for certificate of origin, I thought it would be from government ministry. does the exporter normally know how to prepare all these or do we need to guide them?

serious exporter already know all these document, this is standard for them. but if you work with very small exporter or farmer who just start exporting, sometimes they not familiar with document process and need help from freight forwarder. I suggest ask your contact if they have experience with direct export before and how many container or shipment they already do. that tell you how professional they are.

I have been doing direct import from Indonesia for about 4 years. on the importer side in Japan, we need import license for food product which include coffee. also need to submit import declaration to Japanese customs and our health authority do random inspection for pesticide residue and mycotoxin. for Indonesian origin coffee the inspection pass rate is generally good but it does happen occasionally. the most important thing you can do is ask exporter to provide recent lab test result for the specific lot, this help a lot if customs decide to inspect.

also for Korea I believe similar requirement apply, you may want to check if Korea Food and Drug Safety Ministry has specific maximum residue limit for coffee import that differ from Codex standard.

one thing often overlooked by first time direct importer is the freight forwarder relationship. a good freight forwarder who has experience with Indonesian coffee export will handle a lot of the documentation coordination between your exporter and your customs. they charge fee but it is worth it for first few shipment until you understand the process yourself. also make sure your exporter has experience with your destination country, because some countries have very specific requirement for labeling or documentation format that not all exporter familiar with.

about EUDR, currently this regulation apply only for EU destination market. if you import to Korea you not directly affected by EUDR requirement from legal side. but i see some trend where even non-EU buyer start ask for geolocation data and deforestation-free documentation because they want to be prepared or their own customer start asking this question. so even though not required legally for Korea market now, it is not bad idea to ask your Indonesian supplier if they already prepare this data.

for China market we need additional registration number from GACC (General Administration of Customs China) for food exporter. Indonesia exporter must register to GACC before they can ship to China. I assume Korea also have similar registration system for foreign food supplier. worth checking this before you commit to order because registration process can take time.

also ask your exporter about minimum order quantity. most Indonesian exporter work with minimum one full jute bag which is 60kg for sample order, but for commercial shipment minimum is usually 300-500kg or one pallet. some require FCL container. knowing this upfront will help you plan your first order properly.
