Void Debit Note

Conditions for Using the Void Feature

The Void feature can be applied only when all of the following conditions are met:

  • The Debit Note is not closed.

  • No invoices have been debited.

  • No refunds have been issued.

  • The user has permission to edit the Debit Note.

Once a Debit Note has been voided, it cannot be used to generate refunds.


Void a Debit Note

Step 1: Hover over the Debit Note and click the Debit Note Number hyperlink.

Step 2: Click More and select Void.

Result:
The Debit Note status will be updated to Voided, and all related actions such as refund creation will be disabled.


Cancel Void (Reopen Debit Note)

To cancel a voided Debit Note and reopen it:

  • Click More and select Mark as Open.


Refund Debit Note

To issue a refund for a Debit Note, follow the steps below:

Step 1: Hover over the Debit Note and click the Debit Note Number hyperlink.

Step 2: Click More and select Refund.

Step 3: Enter the Refunded Amount, select the Refund Date, choose the Payment Mode, and click Save.

Refund records can be edited or deleted from the Refunds tab.
