To add a new approval configuration to your organization, follow the steps below:
- Step 1: Navigate to the Settings menu under the Purchase module from the left sidebar.
- Step 2: Select the Approval Settings menu and click the New Approval Setting button.
- Step 3: On the New Approval Setting page, complete the following fields:
- Subject: Enter the approval subject or title.
- Related To: Select the applicable transaction types, including Purchase Request, Purchase Order, Quotation, Purchase Invoice, and Payment Request.
- Only One Person Needs to Approve the Transaction:
If this option is enabled, all approvers in the workflow can approve the transaction simultaneously, and approval or signature from any one approver is sufficient to change the transaction status.
Select Approver: Choose the approver type:

- Staff
- Direct Manager: The approver is the direct manager of the transaction creator.
- Department Manager: The approver is the department head of the employee who created the transaction.
Note: The Direct Manager and Department Manager options are available only when the HR Records module is enabled.
Action: Select the approval action:

- Approve
- Sign
When the action is set to Approve, the approver can upload an electronic signature during the approval step if the option “Allow upload e-sign for approval type” is enabled in the Purchase Options settings.

- Use the Add Approver button to add another approver to the workflow.
- Use the Remove Approver button to remove an approver from the workflow.
Step 4: Click the Save button to create the approval setting.
If the transaction creator does not have a direct manager, or if the creator’s department does not have a department head, the system will notify the transaction creator after submission that no approver was found.
Edit Approval Setting
To edit an existing approval configuration, follow these steps:

- Step 1: Navigate to the Settings menu under the Purchase module from the left sidebar.
- Step 2: Select the Approval Settings menu, choose the approval setting to be modified, and click Edit.
- Step 3: Make the necessary changes and click the Save button to apply the updates.
Delete Approval Setting
To delete an approval configuration, follow these steps:

- Step 1: Navigate to the Settings menu under the Purchase module from the left sidebar.
- Step 2: Select the Approval Settings menu, choose the approval setting to be deleted, and click Delete.
- Step 3: Confirm your action in the confirmation pop-up. The selected approval setting will be permanently deleted.
